Invoicing Best Practices for Pakistani Businesses

An invoice is not just a request for payment, it is a tax document. In Pakistan, the quality of your invoicing directly affects your ability to claim input tax and to defend your declared turnover.

A sales tax invoice must carry the supplier name, address and registration number, the buyer name, address and registration number where applicable, a sequential invoice number, the date, a description and quantity of goods, the value excluding tax, the rate and amount of tax, and the total payable.

Sequential numbering matters more than businesses expect. Gaps and duplicates in an invoice series are among the first things an auditor looks for, because they suggest unrecorded sales.

Issue invoices at the time of supply rather than when payment arrives. Tax liability generally attaches to the supply, and late invoicing distorts the month in which the transaction is reported.

Retain copies for the statutory record retention period. Digital copies are acceptable and far easier to search, but they must be complete and tamper resistant.

For services, check whether the applicable authority is provincial rather than federal, since the invoice must reference the correct registration and rate.

Consistent, professional invoicing also improves cash flow. Clear payment terms, correct client details and a reliable numbering system reduce disputes and speed up collection.
